Ask around and you'll get three different answers to the same question: do you need Microsoft 365, or would plain business email hosting do the job? Most of the advice out there comes from people selling one or the other. Here's an honest answer instead.

What business email hosting actually gives you

A professional email address on your own domain, working from your phone, laptop, or any email app, with nothing else attached. If your business runs on WhatsApp, spreadsheets, and a shared drive that already works fine, this is often all you need. It's also usually the cheapest of the three options by a wide margin.

What Microsoft 365 adds on top

Everything business email hosting gives you, plus Outlook, Word, Excel, PowerPoint, Teams, and shared cloud storage through OneDrive and SharePoint. The email itself isn't meaningfully different, the difference is everything bundled around it.

The honest question to ask yourself

Do you currently use Microsoft Teams for calls or chat? Do you regularly open a shared OneDrive or SharePoint folder? Does your team collaborate on the same document at the same time? If the answer to all three is no, you're likely paying for a suite of tools sitting unused, when plain business email hosting would cover what you actually do.

If the answer to any of those is yes, and especially if it's more than one, Microsoft 365 usually earns its cost quickly, since replacing those tools individually elsewhere costs more, not less.

Where it gets more complicated

Security is the other side of this decision that's easy to miss. Microsoft 365's business tiers include proper spam filtering, multi-factor authentication, and admin controls that basic email hosting generally doesn't offer at the same level. If your business handles anything sensitive, that's worth weighing alongside which apps you'll actually open.

The mistake most businesses make

Buying whichever option sounds most "proper," without checking whether it matches how the business actually works. It's just as common to see a business overpaying for Microsoft 365 seats nobody uses as it is to see one stuck on basic hosting that's outgrown it. Neither is a small thing to get wrong once you're a few years and several staff into it.
