Signs Your Business Has Outgrown Its Current Email Setup

Most businesses don't decide to change email provider, they get pushed into it after something goes wrong. Here are the signs worth acting on before that happens, rather than after.

Client emails are landing in spam

If clients regularly tell you they "found your email in junk," that's not bad luck, it's usually a sign your domain's deliverability settings were never configured properly in the first place. It gets worse the longer it's left, not better.

You genuinely don't know if anything's backed up

If you can't answer, right now, whether a deleted mailbox from six months ago could be recovered, that's worth treating as an emergency waiting to happen, not a technical detail to deal with later.

You're paying for licences nobody's using

Staff who've left, roles that changed, seats bought "just in case" and never assigned. It's an easy thing to lose track of, and it quietly adds up to real money every single month.

Nobody knows who to call when something breaks

An account locks out, a setting needs changing, and the answer is a support ticket queue or a help centre article, not a person who already knows your setup. That's a sign the provider fits a much smaller or much bigger business than yours, not one your size.

Staff have started working around it

If anyone on your team has started CC'ing a personal email address, or forwarding things to WhatsApp because the proper system is unreliable, that's the clearest possible sign the setup isn't actually working, whatever the invoice says.

Security features feel like an afterthought

No multi-factor authentication, weak spam filtering, or admin controls that feel bolted on rather than built in. As a business grows, what was an acceptable risk at three people becomes a genuinely serious one at fifteen.

What to actually do about it

None of these signs individually mean you need to rip everything out and start again. Together, they're worth a proper look at what you're actually paying for and whether it's still fit for the business you are now, not the one you were when it was first set up.
